The rules of using our services

By booking or participating in our tours and activities, you agree to these Terms and Conditions, which outline responsibilities, liability limitations, and key information about cancellations and participation.

White Winter Lapland

1. Bookings

Reservations can be made through our online booking system or via email. Reservation is considered confirmed when the reservation is fully paid. In case the payment is not received by the due date, we withhold the right to cancel the reservation.

Booking through Bókun is the most reliable and secure option for both the customer and White Winter Lapland Oy. Therefore, we recommend making all bookings online whenever possible. However, we also accept reservations by email, especially if situations such as online booking is unavailable or when booking for larger groups, occur.

All online bookings are processed through the online reservation platform Bókun.

2. Payments

Online bookings can be paid using the following credit cards:

• Visa
• Mastercard
• PayPal

For online bookings, the payment is processed through Bókun, who charge a small booking fee (1,5%) which is included in the price. All fees will be visible during the payment process. For bookings made by email or phone, the payment method will be agreed upon during the booking process.

White Winter Lapland Oy reserves the right to request personal information (e.g., credit card details and address) if payment is to be made in cash or by card before the start of the program. We also reserve the right to request payment before confirming the booking.

3. Cancellation Policy

To cancel your participation, please contact us at contact@whitewinterlapland.com.

100 % refund for cancellations made at least 24 hours before the program start date.
No refunds for cancellations made less than 24 hours before the program start.

No refunds will be given for no-shows or late arrivals.

The reservation will be 100 % refunded in case the illness is being mentioned as a reason for cancellation. Medical certificate in Finnish or English need to be sent to us within two working days from the cancellation date. If person under 18 years can’t participate to the activity due to illness, one adult can also get refund if the medical certification is sent to White Winter Lapland.

4. Risk Acknowledgement

Participants must be aware that animal behavior and Arctic conditions are unpredictable and may lead to dangerous situations or accidents during the programs. White Winter Lapland Oy has taken all appropriate measures to minimize the risk of such incidents.

White Winter Lapland Oy is not liable for personal injuries unless they result from negligence by our staff or subcontractors during the program. All participants must follow the safety instructions provided. If a participant fails to comply with these safety instructions, our staff reserves the right to remove them from the program. In such cases, no refunds or compensation will be provided.

5. Pregnancy and Health Conditions

It is the participant’s responsibility to inform White Winter Oy of any pregnancy or health conditions (e.g., back or hip problems, heart disease, asthma, diabetes, epilepsy) at least 24 hours before the start of the program. Pregnant individuals or those with medical conditions may participate at their own risk but must sign a liability waiver.

If such conditions are not disclosed in advance, the responsibility lies entirely with the participant.

6. Service language

English is the official language used in tours and all other services.

7. Sledges at the reindeer safari

If you are a single traveler or if the participant amount is not an even number, you can be paired up with someone else. If you want to be sure to have a sledge only for you, you can ensure it by paying the price of two adults. In that case, please write a comment to the additional info, that you have paid for two to ensure the sledge only for you.

8. Force Majeure

White Winter Oy is not responsible for any loss or reduction in the value of a product caused by a force majeure event beyond our control (e.g., lack of snow or other natural conditions). In the event of force majeure, we will inform customers immediately and keep them updated on changes in circumstances. We will also take all reasonable steps to minimize the impact of the force majeure and fulfill our obligations under this agreement.

9. Liability Insurance

White Winter Lapland Oy holds personal injury and property damage liability insurance in accordance with the terms provided by OP Vakuutus Oy.
